The following Policy Statement is very important for you to read before you register for any of the programmes seminars offered by the CrossRoads Group. These policies set-forth the requirements by which you as a student are governed at the CrossRoads Group - your rights and obligations.    Admission Procedures

A. Prerequisites

Advanced Hypnotherapy CE Seminars

Completion of 300 hours of training in Hypnosis and Registration/Certification as a (Clinical) Hypnotherapists.

Clinical Counselling-Hypnotherapy Seminar Programme

Applicants must be RCH/CHt certified having taken the equivalent to 300 hours of core training and are required to be in Private Practice, taking the entire year two seminar programme from the CrossRoads Group is required to be eligible for Registration as a Clinical Counselling-Hypnotherapist (RCCH).

B. Admission Requirements

  1. Minimum Grade 12 or equivalent or mature student status with an established work history. Preference is given for admission to the mature student with life experience because of the nature of the profession. Interviews are held on an on-going basis, if required, prior to the start of each programme.

  2. Fluency in spoken and written English.

  3. Must be physically and mentally healthy.

  4. The total number of students accepted into any programme is limited, therefore we recommend that you apply promptly and in this way avoid disappointment.

C. Application Deadline

Applications must be received or postmarked 15 days before the scheduled start of training. (Note! if the programme is not full this may be waved)

D. Application Procedure

Submit:

a. Completed application form (on web site).
b. Documents for Student Records:

  1. Transcript/certificates from last educational/Group attended (if applicable).

  2. Non-refundable application fee. (returned if programme is full or application not accepted).

  3. Letter requesting transfer of courses (if applicable).

c. Answers a short questionnaire consisting of 9 to 12 questions about purpose and personal motivation for taking the programme. (if applicable)

d. Participate in several short psychological and communication evaluations. (if applicable)

e. Once the CrossRoads Group has received all documentation a further telephone interview may be arranged.

G. Acceptance

Once all documentation has been submitted and the interview has been completed, applicants will be notified by letter or email as to their acceptance into the programme they are applying for entry.

   Tuition Investment and Finances

1. Financial Assistance

There may be partial tuition grants, bursaries or private student loans available for the programme, contact the CrossRoads Group for information about qualifying requirements.

2. Tuition Investment, Payment Plan and Finances

Tuition Investment for the different programmes is listed on the specific programme outline webpage. Tuition Investment is due in full the Day of Registration at the CrossRoads Group unless other arrangements have been made.

Generally, tuition and fees for all seminars are paid through PayPal linked through the CrossRoads Group Website.

Student Loan Payment plans using post-dated cheques can be established provided the student can support the post-dated cheques with a valid credit card as guarantor which carries a credit limit of at least $5000.00. The valid credit card guarantor shall be used to cover the amount of any default post-dated cheque or unpaid tuition which is in default. There is an interest/carrying charge added into the payment plans to cover administration costs. Should a student withdraw or be dismissed from the programme of study, the balance of all fees and tuition owed shall become due and payable on the date of withdrawal or dismissal and charged against the credit card guarantor.

There shall be a $40.00 charge for NSF Cheques, Cheques Returned to us in default by a financial institution and declined credit card payments.

Should a student fail to meet their financial obligations under the Student Agreement between the Student, The CrossRoads Group. After a 30 day grace period, a student shall be informed by letter of default that they are in arrears in their financial obligation to the Institute and that they shall be charged an interest rate of 2% per month (24% per annum) on all unpaid balance commencing from the date of default. The interest amount shall be added onto the unpaid balance thus, the interest shall be compounded on a monthly basis. If the Student withdraws or is dismissed from the programme of study, any uncollected balance shall be put into the hands of a third party collection agency.

Students should expect to invest approximately $550.00 for the year two programme seminars.

There may be miscellaneous fees for makeup exams and a course or a programme transfer.

3. Administrative Fees

  • Late Certificate Processing Fee. There will be a late filing fee of $100.00 for those applying for Certificates after graduation date due to exam retakes, fees owing, make-up sessions required and other conditions of graduation.

  • Proctored & Rewrite Exam Fees. The fee for writing/proctoring a missed exam is at the rate charged for exam rewrites - $100.00.

  • Duplicate Income Tax Receipts, Certificates, Transcripts, Diplomas, Course Outlines. For each duplicate requested there will be a fee of $25.

  • Programme Deferment. Because of the nature of the programme seminars there is no deferment of study available.

  • Credit Cards and PayPal. 5% Adjustment fees are non-refundable.

4. Refund Policy

Refunds before the programme of study starts:

If written notice of withdrawal is received by the institution before the start of a programme of study, the institution may retain the $150.00 non-refundable application fee or 50% of all prepaid seminar fees.

If the programme is full or the application denied then the application fee or prepaid seminar fees will be refunded in full by the CrossRoads Group.

Refunds after the programme of study starts:

This is no refund after the programme seminar has commenced.

Note: All Void Post-Dated Cheques are shredded/destroyed on withdrawal/dismissal of the student unless requested returned.

   Academic Standards and Policies

The CrossRoads Group has a commitment to maintaining a high standard of professional and personal development. To achieve this, students will be tested by oral, practical and written examination. Students' progress will also be evaluated by their attendance, professional and personal conduct, clinical performance and contribution to the programme they attend.

Except for extreme situations, such as a death in the family or serious illness, the student must complete the programme seminar within scheduled period. If the student is allowed to defer completion of the programme seminar until the is offered again, the student must re-register. However, there is no guaranteed the programme seminar will be offered again and no refund will be given.

Grading System

The following system is used:

A     90-100 %
B     80-89
C+   72-79
C     65-71
C-    60-64
F     59 or less Failure
I      Incomplete

  1. Some programme sessions or programmes may be evaluated on a pass or fail basis where it is more appropriate to the subject matter.

  2. Exams in all programmes must be 60% or more to pass the programme.

  3. Final Certification Exam must be 80% or more to be certified.

  4. Challenge Exams for modules one and two must be 80% or more to pass in order to advance to the next level of the programme of study, thus by-passing the challenged level of study.

A student receiving a grade below "C-" is responsible for retaking that exam upon making arrangements with the instructor. There will be a $100.00 charge for all exam rewrites.

A student receiving an "I" (incomplete) must make up the specified deficiency within two months or the "I" automatically becomes an "F".

Further:

  1. Students must inform the instructor in writing why they will miss an exam prior to exam time.

  2. An inexcusable absence may be deemed as a failed exam. Excusable absences are most frequently a result of illness or family emergency.

  3. In the case of an excusable absence, an alternative date will be arranged with the instructor to write the missed exam either instructor supervised or proctored. Failure to write the exam on that prearranged date will result in a failed grade being given.

  4. The fee for writing the missed exam is at the rate charged for exam rewrites - $100.00.

  5. Late assignments will be deemed as one half (1/2) credit. Two weeks after the due date, assignments will not be accepted.

Further:

  1. Full attendance is required at all programme sessions. Students must inform the instructor of any anticipated absences.

  2. Absences of more than 10% of the programme seminar taught to date of each course may be made up at the discretion of the instructor and may involve an additional fee.

  3. Unsatisfactory attendance may result in the lowering of the student's grade, academic probation, repeating the course or dismissal.

  4. All students must be in attendance for the Day of Registration of the programme seminar they have registered for. No exceptions are permitted as this first day of a programme seminar is valuable for building the foundation of group bonding and CrossRoads Group information and regulations.

Further:

  1. Students are expected to arrive on time for programme sessions. Arriving late or leaving a session early may be considered an absence. Either situation will warrant a deduction from the attendance mark.

  2. When a student's persistent lateness becomes disruptive to the session, corrective action may be implemented.

Further:

If a student has a grade on an exam of 50 to 59%, they will be given one opportunity to rewrite the exam. Students who fail the rewrite exam (59% or less) will be consider failing. Students who pass the rewrite exam (60% or more) will be given a 60% grade in that programme seminar.

The following criteria must be met to receive credit in a programme:

  • 60% grade on exams

  • 80% grade on Certification Exams

  • completion of clinic objectives

  • 90% or more attendance of any programme seminar

  • completion of written and/or practicum assignments or case studies (if applicable)

Probation and Termination: students may be placed on probation or dismissed for the following reason:

  • disruptive or unprofessional behaviour

  • grading of less than 60% in a programme

  • attendance of less than 90% in a programme

  • inability to meet financial obligations

  • sexual harassment of fellow students, faculty, staff or clients

  • untreated chemical dependency

  • dishonesty in admission application

  • cheating or plagiarism

Dispute and Resolution Policy

If a student has concerns about the programme content, instruction or other programme-related issues, these are to be taken to the administration, either verbally or in writing. These concerns will be responded to within fourteen (14) days.

When a student is in dispute or conflict with another student, staff member or the administration, they are first encouraged to contact the person they are in dispute/conflict with, and settle it between themselves.

After following the previous process, should an unresolvable disagreement occur between the student and the CrossRoads Group, the following policy and procedures must be followed to ensure resolution:

  • A mediator suitable to both parties shall be designated to review unresolved complaints, disagreements and disputes within seven (7) days.

  • The Mediator shall request written submissions from both parties within fourteen (14) days from the date of the appointment.

  • The Mediator shall review the written submission, conduct necessary investigations and provide a written decision to both parties within thirty (30 ) days from the date of the appointment. The decision of the Mediator shall be final.

Student Conduct

Students are expected to conduct themselves in a professional and appropriate manner. This includes appropriate dress and respectful conduct toward other students, faculty and clients. In consideration of others, students are required to attend classes and clinics scent-free.

Hours of Instruction

Programmes and programme seminars will be held inaccordance with the schedule provided in the letter/email of acceptance to the applied programme seminar. The CrossRoads Group reserves the right to adjust the programme seminar schedule for whatever reason.

   Graduation Requirements

Prior to receiving their Certificates of Completion, students must complete all requirements including:

a) passing grade for all required seminars
b) completion of required clinical/practicum hours
c) satisfactory demonstration of clinical skills and attitudes

  • technical skills

  • accurate application of knowledge in clinical settings

  • caring and sensitive response to client's needs

  • effective communication with colleagues, clients and other health care practitioners

d) fulfilment of all financial obligations to the CrossRoads Group

   Clinical Recognition

Graduates will be eligible for Professional Recognition by the Association of Registered Clinical Hypnotherapists (ARCH Canada), the International Medical & Dental Hypnotherapy Association and/or the International Association of Counselors & Therapists (USA & International) on successful completion of the programme seminars for continued education credit. While there are several other certifying bodies and associations that will recognise the instruction in Canada and the USA. We endorse the ARCH, IMDHA and IACT because of their worldwide recognised status and that they are independent third-party certifying bodies.
